POSITION: EXECUTIVE ASSISTANT
DEPARTMENT: ADMINISTRATION
REPORTS TO: REGIONAL DIRECTOR
NATURE AND SCOPE OF THE POSITION
The Executive Assistant will provide personalized secretarial and administrative support in a well-organized and timely manner. You will work on a one-to-one basis on a variety of tasks related to the Regional Director’s working life and communication.
DUTIES AND RESPONSIBILITIES
• preparing correspondence on the Regional Director’s behalf
• Regional Director’s diary management
• Prepare correspondences, reports and materials for presentations
• Planning and Organizing meetings
• Organizing the Regional Director’s travel plans and itineraries
• Taking action points and writing minutes
• Drafting communication on behalf of the Regional Director
• Managing paperwork and filing in the Region Director’s office
• Assist the HR Assistant in manning the front office
• Assist the HR Assistant in general administration of the office
• Coordinate/liaise with other staff to follow-up on deadlines required by the Regional Director;
• Handle sensitive project information with great tact, discretion and judgment and,
• Perform such other tasks, as assigned by the CEO.
