Job Summary:
The incumbent will undertake finance and administrative duties and responsibilities that enable efficient and effective running of Concern’s programme support operations in Marsabit.
Main Duties &
Responsibilities:
Finance:
Petty Cash and Bank Management
• Issuing of cash in line with Concern’s financial procedures & policies
• Recording all transactions on a daily basis
• Filing all associated paperwork associated with such transactions
• Ensuring that the cashbox is stored securely during cash hours
• Track cash and bank balances to ensure conformity with Concern financial procedures
• Prepare and reconcile cash and bank statements/books and send over to Nairobi finance team
• Prepare weekly cash counts for cash in box and cash in the safe
• Prepare float aging analysis and submit them with monthly financial reports and follow up on outstanding floats with relevant staff
• Properly handle and safely keep cash and bank books
General Ledger Maintenance
• Recording all transactions on the cashbook on a daily basis, ensuring coding ensuring all codes are correct, descriptions are appropriate and any exchange rates are correct in line with Concern’s financial procedures
• Prepare the assigned journals ensuring all descriptions and budget codes are correct
• Preparation of monthly balance sheet reconciliations
Payment Processing
• Reviewing financial documents and ensuring accurate and proper coding in adherence to finance procedures before processing of payment
• Processing all payments for the Marsabit office within one (1) week of being receipt
• Follow up on payments including providing feedback and addressing queries on payments from Service Providers/Suppliers.
Administration:
• Act as the focal point for IT, HR and administration functions in Marsabit Office undertaking roles such as collating leave plans, facilitating leave applications, organizing pre-employment medical examinations for locally recruited staff etc. as and when required
• Organizing staff and visitors’ accommodation in Marsabit
• Managing housekeeping services – garbage collection, pest and rodent control and office cleaning to ensure a clean, health, safe and professional working environment
• Supervise, coach and mentor direct reports (Office Cleaner/Housekeeper and Security Guards) in the effective and efficient delivery of office support services
• Liaise with Logistics Officer and Field staff to ensure adequate and timely supply of food, stationery and other supplies for Team Houses in Maikona and North Horr.
• Liaise with HR and Administration in Nairobi in the management of Marsabit leases and/or rental agreements
• Contribute to the development of quarterly costed work plan for the administration function in Marsabit and provide support in the administration budget revision process for the Marsabit Office
Other Duties
• Ensure strict guardianship and security of information and documents at all times, including proper filing, secure storage and limiting access to authorized personnel only
• Proper recording and filing of all finance and administration related documents
Programme Participant Protection Policy
• To adhere to the standards of conduct outlined in the Programme Participant Protection Policy and Concern Code of Conduct.
Responding to Emergencies:
• Participate and contribute as necessary towards Concern’s Emergency response as and when necessary
• Comply with Concern’s health, safety and security guidelines during emergencies
Job Specification:
• A Diploma in Business or Public Administration/Finance/Accounting. A Bachelor’s Degree in the relevant areas is desirable.
• CPA K/ACCA/CPS professional certification is essential.
• A minimum of two (2) years’ experience in a similar position. Experience in a CBO or NGO or both is preferred.
• Knowledge of and competency in common finance/accounting and administration processes and procedures coupled with strong business management acumen.
• Proficiency in the use of MS Office (Spreadsheets, Word, Access and Power Point) and basic accounting systems preferably Microsoft Great Plains (MGP)
• Excellent communication, interpersonal, planning, reporting and organization skills
• Fluency in both spoken and written English and Kiswahili. Fluency in the local language/s is essential.
