Period: 1 year (including 3 month probation)
Duty Station: Kakuma Refugee Camp, West Turkana, Kenya
Starting Date: September 2016 or later (depends on the funding result)
Main Objective: The Assistant Administrative Officer will execute financial, administrative, legal, logistical, procurement related tasks including documentations under supervision of Head of Office and/or Programme Coordinator. He/She will also take part of monitoring and evaluation of our beneficiaries.
Reporting: Head of Office/Programme Coordinator

Specific Duties
○ Finance
・Control financial account of both cash and data
・Prepare necessary financial evidence (quotation, invoice, receipt and delivery slip) according to the organization’s guidelines
・Assist in supervising and giving advice as necessary to other staff to ensure their compliance with the required financial procedure
・Assist in negotiating and coordinating with contractors and shoppers
○ Storekeeping
・Keep proper and correct records of all the office consumables and assets with Microsoft Excel
・Assist organization staff by arranging transportation and distribution of office items for project and administrative implementation
○ HR
・Keep proper records of attendance of staff members
・Keep and update HR related information such as contact list and ID cards
・Being a radio controller and keep whereabouts of staff members
○ Logistics
・Arrange for accommodation and flights for staff members and/or visitors
・Assist in coordinating with transporters to deliver project materials
・Assist in purchasing items as instructed by the supervisor
○ Others
・General affair works requested by supervisors
・Liaise with stakeholders including local authorities, UN agencies, and other international and national NGOs
○ Monitoring and Evaluation
・Visit the projects sites and conduct M&E
Essential Requirement
・At least 3 years of professional experiences in relevant field
・University degree in finance, business, administration, education, peace studies or development studies
・Good operational knowledge of Microsoft Office in Word, Excel and PowerPoint
・Proficient in spoken and written English and Kiswahili
・Strong motivation to be a part of an humanitarian organization

Knowledge and skills
・Kenyan citizen, residing in Kenya and able to station in Kakuma
・Experience working with international NGO is an asset
・Strong co-ordination and negotiation skills with stakeholders and problem solving skill
・Culturally sensitive and high level of diplomacy and tact
・Security awareness and management relevant to sensitive security environment
・Ability to work both independently and as a part of team
・Strong analytical and report writing skills
・Excellent interpersonal and time management skills
This position in under the salary scale for national staff members
