About The Role
The Executive Assistant to the Executive Director (ED) will be responsible for providing comprehensive support to the Executive Director and the Leadership Team. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.
Key Duties and Responsibilities
Provide sophisticated schedule management for the Executive Director. This includes prioritizing inquiries and requests and making suggestions and recommendations on how to improve the day-to-day engagements of the Executive Office.
Manage travel logistics for the ED and leadership team when necessary. This includes but is not limited to visa applications, accommodation and transport.
Prepare ED for meetings and/or accurately record minutes.
Plan for and schedule internal and external meetings relevant to the ED. This may also include helping out with events logistics as needed.
Work with the Leadership Team to coordinate the ED’s outreach activities. Follow up on contacts made by the ED to cultivate long-term relationships
File and retrieve corporate records, documents and reports related to the ED’s office.
Complete a broad variety of administrative tasks that facilitate the ED’s ability to effectively lead the organization.
Work closely with the ED to keep them well informed of upcoming commitments and responsibilities, following up appropriately where necessary.
Any other duties as assigned by the manager.
Desired Candidate Profile
An undergraduate degree in any relevant field.
At least 2 years of cumulative work experience.
Previous experience as an Executive Assistant, PA or virtual assistant is a huge advantage.
Experience with G-Suite and other planning and organization software/platforms.
A strong communicator – both written and verbal.
Highly organized and detail oriented.
Ability to work with a wide range of senior executives and manage up accordingly.
