Summary: Our client, an Investment Company and Corporate Finance Boutique is seeking to hire an Executive Secretary working directly with the Chief Executive Officer (CEO) and also dealing with all his personal investments and related matters.
The role: This is an active secretarial role, with a good deal of correspondence and report typing. It will involve substantial telephone and personal contact with clients and partners.
It is hoped that the candidate can “grow” the role to support actively the CEO in dealings with clients.
The successful candidate should have secretarial experience and possess good communication skills.
The candidate should have an excellent command of spoken and written English.
Visitors to the office range from international businessmen to Government Ministers and fellow professionals.
Attention to detail in both written and verbal skills is therefore a pre-requisite, together with an enthusiastic approach and smart appearance.
Some knowledge of French and some knowledge of the financial sector will be an advantage.
Key Responsibilities
Providing high level support, to the CEO encompassing both copy and straight dictation typing
Preparing PowerPoint presentations to clients
To “meet and greet” visitors and set-up meeting rooms
Preparing and circulating Board packs
Preparing and circulating Board Minutes
Maintenance of expense records
To be the IT point of contact, liaising with outsourced IT support company;
Maintenance/monitoring of contacts directory, office equipment, stationery and kitchen supplies
Extensive diary management
Arranging travel for CEO and on occasions, other staff
Answering incoming telephone calls and transferring/taking messages
Maintenance of payment schedules
Adhoc personal assistant duties for the CEO where needed; and any other miscellaneous responsibilities
Qualifications
A degree in Business management and formal secretarial training
5 years secretarial experience with a speed of 60 wpm
Good working knowledge of Windows 2010
Numerate and grammatical – able to build simple Excel spreadsheets
