Job Purpose: This position reports to the Procurement Manager and will assist in overseeing all procurement operations and vendor management such as contracts and procurement of security items.
Ensuring the effective and efficient execution of procurement functions, and assuring procurement programs are implemented and functioning properly and are in compliance with regulations and Company policies.
Key Responsibilities:-
Prepare and process requisitions and purchase orders for services, supplies and equipment
Manage selected vendor relationships and vendor selection
Assist with vendor review/audits to ensure compliance with contracts and ensure overall vendor satisfaction
Act as a central and first line point in support of contact for a transaction and is responsible for engaging all the internal parties relevant to a given supplier transaction.
Identifying, recommending and implementing plans to improve procurement processes
Conduct gap analysis of current state and desired future state
Anticipate obstacles and challenges, identify root cause and strategize plans to address
Establish medium to long range objectives and specify the actions to achieve them
Review vendor invoices to confirm pricing, terms and conditions, work with vendors and A/P to ensure invoices are accurate, paid on time. Follow up on credits, invoice errors, and dispute resolution
Supporting the procurement manager and advising on supplier selection and actively managing the supplier database.
Maintain and deliver best results for a supplier database to support the IT department.
Negotiate cost efficiencies when reviewing quotations with support from the procurement manager.
Monitor the financial risk profile of suppliers to assist in procurement activities
Provide assistance with contract tendering documents, consistently monitoring contracts and updating contracts where applicable.
Work alongside Procurement manager and key stakeholder to deliver target benefits.
Delivering RFQ’s Constructing RFI/RFP/RFQ’s using appropriate criteria from the client and manage the tender process using appropriate client criteria in accordance with agreed process
Supporting maintenance quotes and renewals and analyzing software licensing.
Prepare and expedite invoices; review for accuracy
Expedite proposals; review for compliance
Prepare subcontract files for transfer to Closeout
Requirements
Experience with Oracle E-Business Suite Procurement highly preferred
BS/BA in a business discipline or related area of study or certificate in Procurement and Supply Operations (CIPS)
Certified Purchasing Manager (“CPM”), Certified Professional in Supply Management (“CPSM”) or Certified Professional Contracts Manager (“CPCM”) preferred
At least 5 years of Procurement experience, IT specific procurement experience preferred
Ability to create and maintain long term vendor relationships
Adapt and be flexible in a complex changing environment
Communicate information in a clear, well-organized, and professional manner
Effective relationship management skills
Proven oral and written communications skills
Solid organization and analytical skills ability to work with processes, numbers and statistics
