JOB PURPOSE
To provide knowledge, information management and communications support to meet the needs of LVCT Health in a timely, effective and efficient manner. To advise the Executive Director and the Directors on knowledge management and information systems. To lead development, planning and implementation of the organisation’s knowledge management strategy within agreed structures and build staff capacity for communications and research uptake. The position holder will seek opportunities to capture, organise, synthesise, and promote LVCT Health’s research and program work with an emphasis on reaching policy-makers, donors, practitioners, community members, and other stakeholders to increase the organisation’s external visibility. Develop key relationships and networks internally, nationally and internationally that are essential to the successful delivery of duties and responsibilities.
KEY ROLES AND RESPONSIBILITIES
• To lead, planning and development of a new Knowledge Management Strategy for the organization. This will involve working closely with the Executive Director and Heads of Departments
• Provide support to program staff and work closely with heads of departments to provide oversight for implementation of the knowledge management strategy within programs including:
o Support inclusion of knowledge management and communications in implementation plans
o Develop specific communications plans and materials for projects
o To translate technical documents and outputs into communications materials to suit various audiences
o Engage and liaise with staff across LVCT Health to actively plan ahead and identify upcoming opportunities that will raise the profile of the organisation externally
• To represent LVCT Health with external stakeholders and donors in workshops and meetings and online
• Support development of tools for monitoring of knowledge management progress and effectiveness
• Provide oversight to the design of the LVCT Health website
• Manage editing, writing and production of communications outputs including website, internet and social media content, press releases, video production and photography
• Serve as a liaison with media houses and manage relationships with external service providers
• Coordinate development of and maintain up to date content on the organisation’s websites
• Assess pre-existing capacity in knowledge management practice within LVCT Health, identify and respond to gaps including training program and research staff to package and disseminate processes and results; encouraging employees to share knowledge, ensure staff are aware of the knowledge management resources available to support their work, are using the systems efficiently and productively
• Provide project management support to programs which will include:
o Contributing to formal periodic reporting by gathering, collating, editing and designing information on knowledge management work and impact
o Monitoring progress against agreed timelines and milestones
o Support the development of proposals
• Responsible for development to dissemination of key institutional communications documents including the annual and quarterly reports and newsletters
• Provide a strategic view on the further development of knowledge management systems and practices in order to support development of the organization’s future strategy
• In collaboration with the IT manager, identify, avail and support staff to take advantage of new features available to meet changing organizational requirements
• To maintain effective surveillance of key websites and other sources of information relevant to the organizations work and to ensure that relevant material is extracted and disseminated in a succinct form to the Executive Director, management and staff
• To represent the organization externally as required
• To undertake any other duties assigned by the supervisor
REQUIREMENTS
o A master’s degree in a relevant field
o Advanced working knowledge of relevant computer software (e.g. Microsoft Word, Excel, PowerPoint, multimedia, social media, design and publishing software)
o At least 4 years’ experience in Knowledge management in a medium to large NGO or a diverse environment with at least one area of high specialization in knowledge management
o Experience in developing content and working with content management systems for websites and web editing
o Experience in translating research & program content into messages accessible for target audiences; Designing posters and IEC materials
o Proven experience in development of Knowledge and Information Management strategy
o Relevant project management and general management experience
o Excellent written and oral communication skills including experience of producing engaging communications aimed at pre-identified target audiences
o Excellent interpersonal, communications and relational skills with the ability to work co-operatively and productively within a team
o Able to multi task, prioritize workloads and meet deadlines with minimal supervision
o Candidates with Multimedia experience, including video and image editing, social media; Knowledge of HIV and health and Knowledge of the theory underpinning knowledge management will have an added advantage.
