Summary Of Role Responsibilities
This includes (but is not limited to) the following areas of responsibility,
Office & Facilities Operations
Manage operations and maintenance of offices and studios for the staff of 50 + including all office systems and equipment, IT and telephone systems
Maintain office budget and prepare activities reports for support and guidance of management.
Facilitate the office space/details for new hire/ termination set-ups, work requests (creating and tracking), furniture issues and ordering
Responsible for office vendor relations including risk assessment, negotiations, contracting and terminations
Liaise with IT support whenever necessary to ensure the smooth operation of systems
Oversight of office equipment maintenance (copiers, stocking toners)
Handle requisitions including submitting and tracking purchasing requests from staff for approval, submitting budgets for any all purchases & services for approval and issuing POs for approved projects
Facilitate all office and studio purchasing and asset management
Complete expense reports for office related expenses
Maintain stock reserves for hard drives, packaging, promos, printed product including letterhead, business cards, etc.
Oversee facility services and repairs with building management and vendors as required

Administrative and Staff Related
Oversee recruiting, selecting, orienting, and training employees.
Manages office staff including coaching, counseling, and disciplining employees; planning, monitoring, and appraising job results.
Oversee adherence to office policies and procedures, ensuring staff are given adequate training to work efficiently and safely
Ensure staff timekeeping reflects accurate recording. Approve timecards and PTO requests. Maintain office-wide PTO/Sick Day calendar
Manage Staples Suite including contract renewals, game and concert requests, catering, and billings
Establish and monitor procedures for record keeping and file maintenance ensuring security, integrity, and confidentiality of data
Other duties and responsibilities as assigned

Experience/Qualifications
Two (2) years of supervisory experience in an office environment.
Exemplary computer skills that include knowledge of the Microsoft Office Suite of products
Ability to take initiative, set personal goals, and work autonomously
Enthusiastic with a sense of humor
Proactive, organized and problem solution oriented
Trustworthy with the ability to handle sensitive information in a confidential manner
Excellent communication (written and verbal), interpersonal, and organization skills required
Strong organization skills with high attention to detail and impeccable follow-through
Strong leadership with the ability to be innovative and suggest change/improvements within the scope of work
Team player – able to work collaboratively and manage relationships with others
Willing to learn new things and take constructive feedback
Comfortable operating and performing basic troubleshooting with technology
Bachelor Degree (preferred)
