Job Summary:
The incumbent is responsible for the ethical acquisition of supplies and services in a timely manner at the most competitive offer ensuring value for money at all times

Main Duties & Responsibilities:
· Efficient and effective procurement or purchase of goods and services;

ü Review supplies requests to ensure that they have proper specifications
ü Prepare tender documents or quote invites for review by Line Manager and subsequent dissemination
ü Prepare Quote Evaluation Forms and analyze quotes received and make recommendations
ü Raise LPOs for the approved purchases and manage the process until goods are delivered
ü Monitoring to ensure that all orders for the delivery of goods and services meet standards

· Providing regular feedback on the status of all Supplies Requests
· Maintaining all documentation related to the procurement process including collating all documentation required for processing payments
· Managing Concern’s relationship with all vendors/suppliers including ensuring prompt payment for services rendered and goods received
· Maintaining an up to date price list, product catalogue and list of preferred and potential suppliers for various goods and services
· Recommending potential suppliers of common project goods and services
· Ensuring and following up on compliance of providers with all legal requirements
· Ensuring Concern’s compliance with legal, organizational and donor policies, procedures and guidelines
· Vetting, auditing or appraising supplies and advising on areas and measures for improvement

Responding to Emergencies:
· Participate and contribute as necessary towards Concern’s Emergency response as and when necessary
· Comply with Concern’s health, safety and security guidelines during emergencies

Programme Participant Protection Policy
· To adhere to the standards of conduct outlined in the Programme Participant Protection Policy and Concern Code of Conduct.

Job Specification:
· Degree in Logistics, Supply Chain Management, Procurement or other related field
· CIPS or relevant professional certification
· At least three (3) years’ work experience in a similar position with UN, International NGO or Fast Moving Consumable Goods Company.
· Strong professional ethics including accountability, confidentiality, integrity and transparency
· Excellent interpersonal, communication, analytical, problem solving, planning and negotiation skills
· A team player who works with minimum supervision and pays attention to details
· Excellent in both spoken and written English and Kiswahili
· Proficiency in the use of computers applications
