Procurement Assistant – Mercy-USA for Aid and Development

POSITION: PROCUREMENT ASSISTANT (IT)
DEPARTMENT: PROCUREMENT AND LOGISTICS
REPORTS TO: PROCUREMENT &LOGISTICS COORDINATOR

NATURE AND SCOPE OF THE POSITION
The Procurement Assistant will support the Procurement and Logistics Coordinator in the provision of a professional, effective and knowledgeable service for the procurement, logistics and IT division. As part of the Procurement IT Team, the Procurement Assistant will provide accurate, timely and auditable assistance in the administration of Mercy USA procurement process, ensuring that processes are fully compliant with current policies and procedures

DUTIES AND RESPONSIBILITIES
Procurement Support
1. Maintain a System of Tracking procurement and Logistics requests and generate status reports
2. Advice the Logistics Coordinator on all issues related to procurement and logistics and ensure transparency and accountability in all activities
3. Maintain a proper record of expenditures, receipts, tracking sheets, supplies request, quotes, tenders, evaluations, waybills etc according to the Logistics Manual
4. Maintain up to date list of major vendors, suppliers, and service providers for all operational locations
5. Assisting in planning, implementing and/or supervise key services in the procurement process including asset management, general supply chain and functioning
6. Assisting in planning, implementing and/or coordinate logistics, procurement (goods &services)
7. Maintains relevant internal databases and files; keeps track of any contractual agreements, framework arrangements, etc. Ensures safe custody of the Purchase Orders, Quotations.
8. Reviews, records and prioritizes purchasing requests and obtains additional information/documentation as required; provides assistance to requisitions in preparing scope of work and specifications of goods and services; proposes product substitutions consistent with requirements to achieve cost savings; determines the availability of funding sources.
IT Support
9. Monitoring and maintaining computer systems and networks
10. Troubleshooting system and network problems and diagnosing and solving hardware or software faults
11. Setting up new users’ accounts and profiles and dealing with password issues
12. Installing and configuring computer hardware operating systems and applications
13. Replacing parts as required
14. Testing and evaluating new technology
15. Conducting electrical safety checks on computer equipment
16. Carrying out preventive maintenance exercises for desktops, laptops and printers on a monthly basis

JOB SPECIFICATION

ESSENTIAL
DESIRED

Academic
• Diploma in Information Technology
-Desired- Diploma in Procurement and Supply/ Diploma from Chartered Institute of Purchasing and Supplies (CIPS) or equivalent certification
Experience
• At least 2 years of experience in Systems Administration, Procurement and Logistics
